GDPR Statement

Somerset Wildlife Trust is registered with the Information Commissioner’s Officer (ICO) as a Data Controller. We are committed to keeping the personal details of our members and supporters safe and we will never sell your personal data.  With your permission, we determine why and how your personal data is used as per our Privacy Policy.

Data retention

We retain personal data only for as long as necessary to fulfil our legal, administrative, and operational obligations. Any third-party processors (e.g., mailing houses) are required to follow the same standards.

Once the retention period has expired, data is securely deleted or archived.

Type of data Acceptable retention period
Membership database records

For Life & Honorary members: lifetime.

Paid members: duration of their membership + 10 financial years from last donation

Donor database records 10 financial years from last donation.
Volunteer database records Deleted after 12 months of inactivity if no response within 6 weeks of enquiry
Volunteer applications & paperwork Retained during application process, then transferred to active volunteer database or erased
Job applications Unsuccessful candidates’ details will be erased after appointment
All retail orders For 10 financial years for financial accountability
Complaints For 5 years for statistical and trend analysis

 

Data deletion

If you request the deletion of your personal data, we will anonymise your contact details and remove all personal information from our records of past communications.
